Terms and Conditions

Terms of business

Rates are inclusive of full English breakfast, VAT and service charges. Extras charged to your bill are any drinks you have in the bar, flowers, champagne etc.

Deposits, cancellation and no shows

To secure a reservation we charge a non-refundable deposit of the first night’s accommodation for each room booked. A booking made with the Cottage Lodge new forest Hotel is a contract. As a small accommodation business, we do not operate an overbooking policy. We respectfully point out that if you cancel a booking the deposit cannot be refunded.

If you do not arrive on the first night of your booking we will wait until 8pm for you. After that, we will assume you are not coming.

If you make a cancellation you will lose the first nights deposit. However, if your booking is for more than one night the following rules apply:

  • Seven days notice: You will be charged the first nights accommodation only.
  • Less than seven days notice: You will be charged the first nights accommodation, and although we will endeavour to sell your room for the remaining nights any shortfall in income to the Cottage Lodge will be charged to your credit card. This could be the cost of the full amount of your booking. Once checked in, if you cut short your stay we will do our best to resell your room for the remaining nights but you will be liable for any loss Cottage Lodge makes. This could be the cost of the full amount of your stay.
  • Moving a booking: If you need to move a booking we will be happy to accommodate you with 21 clear days notice. There is a charge of £20.00 for this service.

Check-in & check-out

You are welcome to check in from 10am until 8pm. Check out is 11am. Late check out is available. Until 12 noon it is an additional cost of £15. Until 1pm the additional cost is £20.00. We are happy to store bags for those travelling by train. We do our best to prioritise rooms for early arrivals but we cannot guarantee room availability before 3pm. If you are arriving late please let us know so that we can organise a late check in pack for you.

Breakfast is served from 8am to 10am. We can deliver a light ‘picnic’ breakfast to your room the evening before an early start if you let us know in advance.

We operate a non-smoking policy throughout the building and grounds. This is also a condition of our insurance. Very occasionally we have guests who are not up to speed with the new smoking regulations. We would just like to take this opportunity to remind visitors who smoke that from the 1st July 2007 it is illegal to smoke inside a public, confined space. This includes bedrooms. At Cottage Lodge was also ask guests not to smoke in the grounds in case smoke drifts up into the rooms around.

If anyone smokes in a room, or damages a room, in such a way that it affects the next person coming into that room we reserve the right to charge for all costs associated with the guests’ behaviour.

We reserve the right to charge for resetting the fire alarm, relocating guests, cleaning rooms or any other costs associated with any guest who smokes anywhere in the building or grounds.

We welcome children of all ages.

Security & personal belongings

While staff do all they can to ensure that guests’ belongings are safe and secure at all times we cannot accept any responsibility for loss or damage to guests’ property in the hotel building, car park and grounds. Please store valuable items in the in-room safes provided.

We accept payment by debit card or cash only. We do not accept cheques.

We have two dog-friendly guest rooms. Pets are not permitted in any other part of the building.

Very occasionally guests cause damage during their stay such as leaving red wine, coffee, and other stains on the bed linen or carpets. We reserve the right to charge for any cleaning or replacement costs.

Health and safety

Parts of the building date back to 1650 – the stairs are steep and ceilings low. Drive slowly over the cattle grids as you enter and exit the car park – especially if your car has low clearance. Please use the pedestrian gate when leaving the building on foot.
